Start with the right document.
Order stock with product references that can be matched during receiving. This inventory purchase order includes an item or SKU field and a unit specification so similar products are not confused. Record the quantity being ordered, not the current stock balance, and check pack sizes before calculating the total. Add the receiving location and requested delivery date so the supplier has the details needed to respond. The file does not reserve stock, update inventory or confirm availability. After delivery, compare the received quantities with the order and resolve shortages or substitutions through your normal process before matching the supplier’s invoice.
