Keep a record that can be reviewed
Record the system quantity and count cutoff before the check. Count in the same unit, preserve the first count and use a separate recount field. Investigate the difference before recording an approved adjustment.
Before your team uses it
- Keep different locations and batches on separate rows.
- Use a consistent variance convention: confirmed count minus expected quantity.
- Do not overwrite the first count when a recount differs.
- Record the approved adjustment reference after it is made in your inventory system.
Adapt it to your process
This is a manual record; it does not update stock or calculate variances. Define who may approve adjustments and how movements during a count are handled in your own procedure.
